Membership, Payment, Cancellation, and Refund Policy

Pacific Coastal Men’s Clinic operates as a membership-based telehealth medical practice.
Patients enroll in an ongoing physician-directed medical management program rather than purchasing individual medications or retail products. When clinically appropriate, prescribed medications are included as one component of the patient’s overall treatment program.
Because professional services, clinical review, pharmacy coordination, medication procurement, and operational expenses occur throughout a patient’s course of care, refund eligibility is determined by services rendered and expenses incurred rather than solely by the timing of billing or medication shipment.
1. Membership
Membership provides ongoing medical management, including but not limited to:
- Initial and follow-up telehealth visits
- Medical evaluation
- Clinical decision-making
- Individualized treatment planning
- Prescription management
- Medication monitoring
- Laboratory review
- Secure messaging
- Care coordination
- Administrative support necessary to provide care
- When clinically appropriate, prescribed medications and routine treatment supplies
Membership fees compensate the Clinic not only for direct patient interactions, but also for the professional cognitive services required to provide safe, appropriate, and individualized medical care. Such services include, but are not limited to, independent medical judgment, clinical decision-making, review and interpretation of laboratory and diagnostic studies, review of outside medical records, prescription evaluation, treatment planning, documentation, communication with pharmacies and laboratories, coordination of care, clinically appropriate research, and other professional time devoted to a patient’s care, regardless of whether those services occur during a scheduled appointment or while the patient is directly interacting with the provider.
Enrollment does not guarantee that any medication will be prescribed.
2. Payment Authorization
By enrolling, you authorize Pacific Coastal Men’s Clinic to charge your selected payment method for recurring membership fees and other authorized charges.
Membership fees compensate the Clinic for providing ongoing physician-directed medical care. Monthly charges are not payment solely for medication, laboratory testing, telehealth visits, or any single component of treatment.
3. Cancellation
Patients may cancel membership at any time by notifying the Clinic.
Cancellation prevents future recurring charges after the effective cancellation date but does not entitle the patient to a refund for services already rendered or expenses already incurred.
Termination of membership does not automatically terminate the provider-patient relationship.
4. Refund Policy
Refund requests are evaluated fairly and consistently based upon the patient’s stage of care.
Before Services Begin
If cancellation occurs before meaningful administrative or clinical work has begun and before expenses have been incurred on the patient’s behalf, a full refund will generally be issued.
After Clinical Services Begin
Once meaningful administrative work or professional clinical services have begun, including but not limited to provider review, consultation, medical evaluation, independent medical judgment, clinical decision-making, treatment planning, review and interpretation of laboratory or diagnostic studies, review of outside medical records, prescription management, documentation, care coordination, communication with pharmacies or laboratories, clinically appropriate research, or other professional cognitive services performed on the patient’s behalf, those services are considered earned and generally become non-refundable, regardless of whether they occur during a scheduled appointment or outside of direct patient interaction.
Medication Component of Care
When clinically appropriate, medications may be prescribed as part of the patient’s treatment program.
Once a prescription has been transmitted to a pharmacy, medication procurement has begun, medication has been compounded, dispensed, prepared, or shipped, the Clinic has incurred substantial non-recoverable expenses. Accordingly, refunds generally will not be issued for that portion of services already provided except where required by law or in the event of a documented pharmacy error.
Prescription medications may not be returned once dispensed.
5. Timing of Care
Patients acknowledge that monthly membership fees support ongoing medical management.
Medication refill schedules, laboratory testing, provider review, and pharmacy processing frequently occur independently of monthly billing dates.
The timing of a payment does not determine whether professional services have been rendered or expenses have been incurred.
6. Allocation of Membership Fees
Membership fees compensate multiple components of patient care, including but not limited to provider services, clinical evaluation, prescription management, pharmacy coordination, medication procurement, laboratory review, shipping, administrative services, compliance, technology, and operational expenses.
These components are combined into a single membership fee rather than tracked, billed, or itemized separately.
If a refund is approved, the refundable amount may be determined after considering services rendered, professional cognitive services performed, and expenses incurred on the patient’s behalf.
7. Chargebacks
Patients agree to contact Pacific Coastal Men’s Clinic before initiating a payment dispute or chargeback.
Chargebacks do not eliminate responsibility for legitimate charges associated with medical services rendered, professional cognitive services performed, or expenses incurred on the patient’s behalf.
The Clinic reserves all rights available under applicable law to recover unpaid balances and contest improper chargebacks.
8. Goodwill Exceptions
The Clinic may, in appropriate circumstances and to the fullest extent permitted by law, provide a full or partial refund as a goodwill accommodation.
A goodwill refund does not establish a precedent or create an obligation to provide similar refunds in future situations.
9. Compliance with Law
Nothing in this Policy limits any rights that cannot legally be waived under applicable federal or Oregon law.
